Train Station Inc. (“The Train Station,” “we,” “us”) runs a personal training studio at
1608 Bissonnet St, Houston, TX 77005 and the website www.trainfit.com.
This policy explains what information we collect, how we use and share it, and the choices you have.
It applies to our website, our online forms and client paperwork, and the text messages and emails we send.
1. Information we collect
Information you give us
- Get Started form: your name, email address, mobile phone number, mailing address, date of birth,
the programs you're interested in, the days and times that suit you, whether you'd like to train with a partner,
and how you heard about us.
- Client paperwork (completed before you begin training): your fitness goals, exercise history,
injuries or limitations, your answers to our medical clearance questions, and your agreement to our release of
liability, cancellation policy and payment policy, including your typed electronic signature.
- When you contact us by phone, email, text or in person: whatever you choose to tell us.
- Booking and payment: we use MINDBODY for online scheduling and payments. Card details you
enter there go to MINDBODY and its payment processors, not to our website.
Information collected automatically
- Your IP address, browser and device type, pages visited, and referring site, collected by our web host's
server logs and by the analytics and advertising tools described in section 6.
- If you arrive from one of our ads or a tracked link, we record the campaign, source and search keyword that
brought you, and link them to your Get Started form so we know which advertising works.
- When you sign your client paperwork, we record the date, time, IP address and browser so we have a reliable
record of your agreement.
2. Health and fitness information
Our medical clearance questions ask about conditions such as heart disease, blood pressure, cholesterol, diabetes,
pregnancy, injuries and medications. We ask so our trainers can design a program that is safe for you and know when
to ask for a doctor's clearance first.
- We use health information only to plan and deliver your training and to keep you safe.
- Only our staff who need it can see it. We do not include it in emails.
- We never sell health information or use it for advertising.
- We share it only if you ask us to (for example, with your doctor), or if the law requires it.
The Train Station is a fitness business, not a healthcare provider, and we do not provide medical advice.
3. How we use information
- To respond to your inquiry, match you with a trainer, and schedule sessions and classes. When you submit the
Get Started form, our staff are notified by email and text message with your name and contact details.
- To provide training safely and track your progress toward your goals.
- To send appointment reminders, paperwork links, receipts and service updates.
- To send occasional news and offers, and to ask for feedback or a review after you train with us. You can opt
out of these at any time.
- To understand how people use our website and to improve it and our advertising.
- To keep our forms free of spam and abuse.
- To keep records of the agreements you sign, to protect our clients, staff and business, and to meet legal,
insurance and tax obligations.
4. Text messages (SMS)
If you give us your mobile number and agree to receive texts, we may send appointment reminders, scheduling
updates, requests for feedback or a review, and occasional information and offers. You may receive up to 5 messages a month. Message and data rates may
apply.
- Reply STOP to any message to stop receiving texts, or HELP for help. You can
also call us at 713-523-9092.
- Your mobile number and text-message consent are not shared with or sold to third parties or affiliates
for their marketing purposes. We share them only with the service providers that deliver our messages.
5. How we share information
We do not sell your personal information. We share it only as follows:
- Service providers that run parts of our business for us and may use it only for that purpose:
website hosting (InMotion Hosting), database hosting (Amazon Web Services), email delivery (such as Mailgun),
text messaging (such as Twilio), online scheduling and payments (MINDBODY), spam protection (Google reCAPTCHA),
the independent web developer who maintains our website and systems, and the analytics and advertising providers
in section 6.
- Legal reasons: when required by law or legal process, or to protect the safety, rights or
property of our clients, staff or others.
- Business transfer: if our business is sold or merged, information would transfer to the new
owner under this policy.
- With your permission, for any other purpose.
6. Cookies, analytics and advertising
Our website uses cookies and similar technologies, including:
- Google Tag Manager and Google Analytics, to measure visits and how pages are used.
How Google uses data from sites like ours.
- Microsoft Advertising (Bing), to measure the results of our ads.
Microsoft privacy statement.
- Google reCAPTCHA on our forms, to tell people from spam bots. It collects hardware and
software information and sends it to Google. Use of reCAPTCHA is subject to the Google
Privacy Policy and
Terms of Service.
- Embedded content from Google Maps, Google reviews and YouTube, which may set their own cookies
when you view those parts of a page.
You can block or delete cookies in your browser settings, and opt out of personalized ads at
Google Ads Settings and
Microsoft ad settings.
Our website does not currently respond to “Do Not Track” browser signals.
7. How we protect and keep information
Our website uses encrypted (HTTPS) connections. Client paperwork is reached through personal, expiring links and
can be viewed only by staff who sign in. No method of storage or transmission is completely secure, so we can't
guarantee absolute security. If a breach affects your information, we will notify you as the law requires.
We keep information for as long as you are a client, and afterwards for as long as reasonably needed for the
purposes in this policy, including legal, insurance and record-keeping requirements. Signed agreements are kept as
records of what was agreed.
8. Your choices and rights
- Access, correction and deletion: you can ask to see the personal information we hold about
you, ask us to correct it, or ask us to delete it. We may need to keep some records, such as signed agreements and
payment history, where the law or a legitimate business need requires it.
- Marketing: unsubscribe from emails using the link in the email, reply STOP to texts, or tell
us at any time. We will still send messages about sessions you've booked.
- Targeted advertising: see the opt-out links in section 6.
To make a request, contact us using the details below. We may need to confirm your identity first, and we'll
respond within 45 days. If we decline a request, we'll explain why, and you may ask us to reconsider.
9. Children
Our website is not directed to children under 13, and we do not knowingly collect personal information from them
online. If you believe a child has given us
information, contact us and we will delete it.
10. Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top shows when it last
changed. If we make significant changes, we will post the new version here and, where appropriate, let you know by email.
